Sending assessments and viewing results

An assessment asks a candidate to complete a task and send back their answer. Kula has its own built-in assessment and can also send tests from HackerRank, HackerEarth, Criteria Corp, Hireflix and CodeInterview. This article covers the built-in one: writing it, sending it, what the candidate sees, and finding and scoring the result.

Who can do this: anyone on the job's hiring team as a recruiter, hiring manager or coordinator. External recruiters see only the candidates credited to them. 

Where to find it: the job → the candidate → the assessment activity on a stage, or the candidate's actions menu. Results: the candidate → Overview.

Add it to the interview plan

Assessments are usually part of a job's interview plan. You add an assessment activity to a stage, and it's ready for every candidate who reaches that stage, so everyone you're comparing gets the same task. See What is an interview plan?

Write and send the assessment

  1. Open the assessment activity on the candidate's stage and click Send assessment.

  1. On Details, give the assessment a Name. The candidate sees it.

  2. Add one or more reviewers: the people who'll score the answer.

  1. Write the Assessment question: the brief the candidate reads. Include what to produce, any constraints and how long you expect it to take.

  1. Attach files if the task needs them, such as a dataset, brief or template.

  2. On Scorecard, choose the scorecard reviewers will fill in.

  3. Click Send assessment.

Name, reviewers and question are required. The question can be up to 10,000 characters.

Send a one-off assessment

To set a task for one person, for example an extra exercise after an interview, send an ad-hoc assessment. It goes to that candidate only and doesn't change the interview plan.

  1. Open the candidate.

  2. From their actions menu, choose Send assessment (ad-hoc).

  3. Fill it in as above: name, reviewers, question, files and scorecard.

  4. Send it.

HackerRank, HackerEarth, Criteria Corp, Hireflix and CodeInterview each have their own action on the same menu.

What the candidate receives

The candidate gets an email with a link to a page on your Kula careers domain. They don't need an account.

The page shows the assessment name, your question and any files you attached. They type their answer (up to 10,000 characters) and can upload documents, images, videos, text or archive files with it. When they submit, the activity changes to Submitted and your reviewers are asked to score it.

If sending fails, usually because of a wrong or missing email address, the activity shows the failure.

Find the result

  1. Open the candidate and go to Overview.

  2. If the assessment was in an earlier round, set the stage selector to All Stages.

  3. Expand the stage. The assessment shows Submitted and when it was completed.

  4. Open its menu and choose View assessment.

For an external provider's test, Kula links to the provider's report rather than storing a copy, so you need your account with that provider to still be connected.

Score the result

When the candidate submits, the reviewers you named are asked for a scorecard. Kula reminds them every 24 hours, up to three times. Their scorecards appear with the assessment on the stage and in the candidate's Scorecards tab, with the same Strong yes / Yes / No / Strong no rating used everywhere else.

Good to know

  • The candidate needs an email address. Without one, the send action is greyed out.

  • Answers are capped at 10,000 characters. Longer answers go in an attachment; the candidate's page says so.

  • A scorecard is optional. You can send an assessment without one if you only want the answer on file.

  • An ad-hoc assessment doesn't change the interview plan. It applies to that candidate only.

  • Editing locks once someone has scored. Edit assessment disappears as soon as any reviewer submits a scorecard.

  • External results come back on their own. The provider sends the result to Kula; there can be a short delay.

FAQ

Can I send an assessment without adding it to the interview plan? Yes. Open the candidate and choose Send assessment (ad-hoc) from their actions menu.

Can I send an assessment at a set time? Yes. Use Schedule for later on the Scorecard step and pick a date, time and timezone. It shows as Scheduled until it goes, and you can change or cancel it until then.

Can I set a deadline for the candidate? No. Scheduling controls when it's sent, not when it expires. Put any deadline in the assessment question.

The candidate says they didn't get the email. Check the activity status. If it shows Sent, resend it and ask them to check spam. If it shows a failure, the email address on the candidate's record is probably wrong.

Where do I find a candidate's result? On their Overview tab, in the stage the assessment belongs to. Use All Stages for an earlier round, expand the stage and choose View assessment.

Why can't I edit the assessment any more? A reviewer has already submitted a scorecard for it, so the question can't change.

The candidate finished an external test but the status hasn't updated. The provider sends results to Kula, so there can be a short delay. If it stays stuck, contact support@kula.ai with the candidate's name and the assessment.
