Common questions from hiring managers

The questions hiring managers ask us most, with short answers. Most come up in the first month, and most have a quick fix.

What I can do in Kula

What am I allowed to do on a job — schedule, make offers, move candidates? Depends on how your admin set up the hiring manager role. Some get the full set, others a narrower slice. If something you need is missing, ask your admin.

Why can I see some jobs but not others? You see the jobs you're on the hiring team for. Need another team's role? Your admin adds you to it.

Can I add candidates myself? Only if your role config allows it. Where it's on, you'll see the option on the job; where it isn't, your recruiter owns sourcing.

Reviewing candidates

Where do I read the resume? Open the candidate or the interview — the resume shows on the left, scorecard and notes on the right. Same screen, no download.

My recruiter sent a shortlist for review. Where is it, and will I get an alert? No alert — reviews land as a task on your dashboard, not an email or Slack ping. Check your open tasks rather than waiting to be notified.

A candidate's been in one stage for weeks. Is it broken? Usually not — it's waiting on a decision, often yours. Sort by time-in-stage to spot where a search has stalled.

Interviews

Do I connect my calendar to interview, or only to schedule? To schedule yourself: yes, your calendar must be connected. To have your availability seen: no — Kula reads your free/busy through the scheduler's access. Connecting yours is still safest. (If your org has calendar sharing fully off, availability breaks for everyone — that's an admin setting.)

Where's the link to join the interview? On the calendar invite. Zoom, Meet or Teams — the link sits on the event itself. No need to open Kula.

How do I prepare beforehand? Open the interview. You get the resume alongside the scorecard, plus a briefing on what to assess and what earlier rounds covered.

I need to reschedule or say I'll be late. Do I email the candidate? No — use Send message on the interview. Ready-made options cover running late, rescheduling, venue or link changes, and more info, plus a custom message.

I stopped being able to schedule, or my links show "no slots." Your calendar likely disconnected. Kula emails and Slacks you a reauth link — reconnect from there and scheduling resumes.

Scorecards and AI

Do I write the whole scorecard by hand? Not if the AI Notetaker recorded the interview. Fill scorecard with AI drafts your answers from the conversation — you review and adjust. It won't write your overall recommendation; that stays with you.

I submitted feedback but the recruiter says it isn't showing. Why? Almost always the Overall Evaluation field at the bottom — it's mandatory, and if it's blank the scorecard stays in Draft and never reaches the recruiter. Select it, submit again, and it appears immediately.

I can't see the "Fill scorecard with AI" button. It only appears once the interview has a completed recording and summary. Missing after a recorded interview? Flag it to your recruiter — occasionally it's a per-user access issue.

The AI Notetaker says "recording failed." Two common causes: Teams policies blocking third-party bots from recording, or the bot joining before anyone was in the meeting. If the interview clearly happened, send your recruiter the link.

Can I submit a scorecard from Slack? If your org routes Kula notifications to Slack, yes — from the interview summary there. If you don't see the option, do it in Kula.

Offers and approvals

Do I log into Kula to approve an offer? No. The request arrives by email or Slack with the details and scorecard links — approve or reject from there.

I'm approving but can't see the proposal or justification. It should show in the approver view. If a field looks cut off, refresh and expand the offer column. Still missing? Tell your recruiter — it may be a display bug worth reporting.

I approved an offer, then the recruiter changed it. Approve again? Yes. Any change after approval goes back round by design, so nothing is quietly amended.

An approval's been sitting with me and the recruiter is chasing. Where? Your open tasks, and your notification channel. A stuck approval is nearly always an unread request, not a system problem.
