Using Universal Search

Universal Search allows you to quickly find contacts, jobs, flows, interviews, and candidates—all from one search bar. This guide walks you through how to use each feature and understand what you're able to access.
1. How to Access Universal Search
You can open Universal Search from anywhere in the platform.
To open search:
Press
CMD + K(Mac) orCTRL + K(Windows),
orClick on the search bar at the top of the screen
This brings up a search overlay that lets you start typing immediately.

2. Searchable Items
Universal Search allows you to search across:
Contact names and emails
Job titles
Flow names
Interview titles
Candidate names (if linked to interviews)
To search for a specific information:
Open the search bar (
CMD/CTRL + K)Start typing your keyword (e.g., a name, job title, or interview name)
Results will be grouped by type for easier scanning
3. Understanding Keyword Highlights
When you search, your keyword is highlighted within each result to help you identify matches faster.
How it works:
Matching words are bolded in the results
A short snippet is shown to give context (e.g., showing where the name or phrase appears)
This helps you scan and select the right result quickly.
4. Navigating to Results
Each search result is clickable and takes you directly to the related record.
To open a result:
Click on any item in the dropdown
You’ll be taken directly to the contact, job, flow, or interview detail page
There’s no need to navigate through separate modules.
5. Search Visibility and Permissions
Your search results are filtered based on your role and permissions within the platform. You’ll only see records you have access to.
Role-based access examples:
RoleSearch Access | |
Super Admins / Admins | Full access to all searchable items |
Recruiters | Full access to contacts, limited access to jobs, flows, and interviews |
Interviewers | Can only search for interviews they are assigned to |
External Collaborators | Can search only contacts and interviews explicitly shared with them |
There is no additional configuration needed—permissions are automatically applied.
6. Troubleshooting Search
If you’re not finding what you expect:
Double-check your spelling or try broader keywords
Confirm you have access to the module you're trying to search
Contact your admin if you believe you should see something that’s missing
