Getting booked
Do I have to connect my calendar to be booked? No — Kula reads your availability through whoever is scheduling. But connect it if you want your own meetings respected, so you're not double-booked.
A recruiter says candidates can't book time with me. Usually your timezone isn't set, so Kula can't work out your working hours. Set it in your profile. A disconnected calendar can also cause it.
Why can't I see other candidates for this role? You see the people you're interviewing or reviewing, not the full pipeline. That access sits with recruiters and hiring managers.
Tasks and notifications
Where do I see what's waiting on me? Your dashboard. Open tasks — scorecards, approvals, surveys — are top-left with counts, and the Open Tasks list shows each one with how long it's been pending.
Where will I be notified about a scorecard or approval? Wherever you set it in the Notification Centre — Slack, email or in-app. Scorecard reminders always come through on at least one channel, so you can't fully mute them.
I have a "Review" task, not an interview. What is it? An application review — you're asked to weigh in on a candidate before they progress, without a live interview. You fill it just like an interview scorecard.
Joining the interview
Where's the link to join? On the calendar invite — Zoom, Meet or Teams. It's on the event itself; no need to open Kula.
I need to reschedule or say I'll be late. Use Send message on the interview. Ready-made options cover running late, rescheduling, and venue or link changes.
Can I decline an interview I've been booked for? Yes — respond to the calendar invite like any meeting, and tell the recruiter so they can find a replacement.
Filling the scorecard
I typed my feedback but the recruiter says it isn't showing. Why? Almost always the Overall Evaluation field at the bottom — it's required, and if it's blank your scorecard stays in Draft and never reaches the recruiter. Select it and submit again.
Do I have to write the whole thing by hand? Not if the AI Notetaker recorded the interview. Fill scorecard with AI drafts your answers from the conversation — review, adjust, done. Your edits are added alongside the AI text, not overwritten. It won't write your overall recommendation; that's yours.
Can I see what other interviewers said? Each round's scorecard is listed on the candidate with its interviewer and rating, so you can read earlier feedback where your admin's visibility settings allow it.
What's the difference between the scorecard and notes? The scorecard is your structured rating and recommendation. The Notes tab beside it is for free-form observations that don't fit a rating field.
I've been asked to fill a scorecard but can't find it. Check Open tasks on your dashboard first. If it's genuinely not there, tell the recruiter — usually a visibility or assignment setting, not a missing form.
I can't see the "Fill scorecard with AI" button. It only appears once the interview has a completed recording and summary. Missing after a recorded interview? Flag it to the recruiter.
The AI Notetaker says "recording failed." Two common causes: your organisation's Teams policy blocking third-party bots from recording, or the bot joining before anyone was in the meeting. If the interview clearly happened, send the recruiter the link.
Can I submit a scorecard from Slack? If your organisation routes Kula notifications to Slack, yes — from the interview summary there. Otherwise, do it in Kula.
