Reminders and follow-ups

When a candidate hasn't acted on a self-schedule link or an availability request, Kula can nudge them, sometimes automatically, and always on demand. The two link types are reminded differently, so it's worth knowing which one you're following up on.

Use this to understand when Kula follows up on its own, when you need to send a reminder yourself, and what happens when a link runs out of time.

Self-schedule link reminders

If a candidate hasn't booked a slot from their self-schedule link, Kula can automatically remind them every 24 hours, up to 3 reminders, as long as the link hasn't been booked, cancelled, or expired.

Note: Automatic self-schedule reminders depend on a setting for your account. If you're not seeing them go out, check with your Kula contact.

You can also send a reminder yourself at any time, regardless of how many automatic reminders have already gone out, from the candidate's Interview activity.

Candidate Availability request reminders

Availability requests don't have an automatic reminder cycle. If a candidate hasn't submitted their available times, send a reminder yourself from the request; Kula resends the original request email.

When a link expires

Both self-schedule links and Candidate availability requests expire at the end of the scheduling window you chose when you sent them, not after a fixed number of days. A link sent with a Next weekday window expires sooner than one sent with a Next week or Custom window.

  • A self-schedule link that expires can no longer be booked. Send a new one if the candidate still needs to schedule.

  • A candidate availability request that expires is marked expired automatically, and you're notified so you know to follow up.
