Schedule All: booking a whole panel at once

Schedule All books every remaining interview in a stage in one action instead of scheduling each interview one by one — built for onsite loops and multi-interview stages where a candidate needs several interviews back to back.

Who can do this: Recruiter, Hiring Manager, Admin, Super Admin on jobs they have access to.

Where to find it: On a job's candidate pipeline, open a stage with more than one unscheduled interview and use the Schedule All button.

How it works

  1. Open the stage and click Schedule All.

  2. Add your preferred date/time range — manually, or by describing it to the AI prompt.

  3. Kula generates recommendations based on interviewer availability, working hours, and existing calendar events, grouped as Same Day, Across Days, or Outside Preferred Times.

  4. If you've collected candidate availability first, Kula highlights mutual slots in dark green and slots with no overlap in light green, so you can see the best options at a glance.

  5. Customize each individual interview's invite (host, location, etc.) before confirming.

  6. Confirm to schedule every interview in the stage at once.

Good to know

  • The button only appears for stages with multiple interviews, and disappears once only one interview is left unscheduled — at that point, schedule it individually.

  • Back-to-back slot suggestions now work reliably. Schedule All previously missed genuinely available consecutive slots and could space interviews apart even with no buffer configured; this is fixed and works automatically for all accounts — no setup needed.

  • A known issue: Schedule All doesn't work correctly when the first interview in the stage is a HackerRank interview. This is still open as of writing — if your stage leads with a HackerRank round, consider scheduling that one manually first, then Schedule All for the rest.

  • Recommendations don't validate that your date range is actually big enough for the full interview plan. If your preferred window is too tight for every interview in the stage, you may land on empty or sparse recommendations with no upfront warning — widen the date range if that happens.

  • Interviewers across timezones can produce empty recommendation sets in some cases. A more robust fallback (a "skip and schedule manually" option, and showing "imperfect" options when an interviewer is only partially unavailable) is on the roadmap but not shipped yet — today, your main options if recommendations come back empty are to widen the date range or schedule that interview manually.

  • Collecting candidate availability for Schedule All is a separate step, and — like candidate availability generally — only works for activity-based interviews, not ad hoc ones.

FAQ

The "best options" Schedule All suggests don't follow the order our interviews are supposed to happen in — can we fix that?

Not today — Schedule All's recommendations don't currently let you pin a required interview order. If your stage has interviews that must happen in a specific sequence, review the suggested order before confirming and adjust manually, or schedule that stage's interviews individually.

Why isn't Schedule All suggesting back-to-back slots even though our interviewers have consecutive availability?

This was a real gap and has since been fixed — Schedule All now reliably surfaces consecutive slots, including in zero-buffer configurations, for all accounts automatically. If you're still seeing this, it's worth flagging to support rather than assuming it's expected behaviour.
