Attaching a survey to a rejection email
Last updated: September 7, 2026
You can include a candidate survey in a rejection email, so a rejected candidate can leave feedback on their experience. The survey has to be created and published first, then selected while composing or editing the rejection email.
Who can do this: Creating and publishing surveys requires the Manage Surveys permission (Admin, Super Admin by default). Attaching an existing published survey to a rejection email is available to anyone who can reject a candidate — Recruiter, Hiring Manager, Admin, Super Admin.
Where to find it: Create surveys under Settings → Surveys (under Jobs & Applications). Attach one while rejecting a candidate, in the rejection email composer.
How it works
An Admin or Super Admin creates a survey in Settings → Surveys, maps it to Departments, Offices, or Work Types (or leaves it global), and Publishes it — surveys start in Draft and can't be sent until published.
In a rejection email template, add the survey — templates that include one show a Has Survey tag so it's clear at a glance.
When rejecting a candidate, either pick a rejection template that already has a survey attached, or select the survey directly in the rejection composer.
The candidate receives the rejection email with the survey link; responses start accumulating as soon as they're submitted, and you can view them under Settings → Surveys → Submissions or on the job itself under Jobs → More → Survey in job.
Good to know
Attaching a survey to a rejection email is a manual, per-recruiter step today — there's no automatic, decoupled survey send after rejection. A customer specifically asked for surveys to trigger automatically after rejection, independent of whether the recruiter remembers to attach one to the email itself — that's not built yet; see the FAQ below.
Every survey requires an NPS rating (0–10) question, and only one per survey — this is enforced when you build the survey, not something you configure per rejection email.
Editing a scheduled rejection email's template to swap in a different survey used to throw an error — this has since been fixed, so re-selecting a survey template on an already-scheduled rejection email should work without issue.
FAQ
Is there a way to automatically send a candidate survey when someone is rejected from a certain stage, without it being embedded in the rejection email itself?
Not yet — today, sending a survey to a rejected candidate depends on a recruiter selecting a survey-enabled template (or the survey directly) at the moment they reject the candidate. There's no separate, automatic trigger that fires after rejection independent of the rejection email. If this matters for your team — for example, to avoid recruiters selectively sending surveys only to candidates they expect gave a good experience — flag it to your Kula contact; it's an open request.
