Getting Started with Kula: A Guide for Recruiting Coordinators

As a Recruiting Coordinator, you play a pivotal role in managing the recruitment process, ensuring smooth coordination between candidates and the recruiting team. This guide will help you get started with Kula ATS, covering essential tasks from setting up your account to managing job postings and coordinating interviews.

Before getting started:

  • Ensure you have your Kula ATS login credentials. If you don’t have an account, contact your Admin to get set up.

Setting Up Your Account


  • Start by clicking on the Settings icon and navigating to User Settings to customize your profile and preferences.


    1. Profile Setup
      • Profile Information: Update your profile with your job title, department, and contact details for personalized communication.
      • Date & Time Format: Adjust your preferred date and time format to align with your regional preferences.

    2. Create User Templates - Kula offers default templates, but you can create custom ones to suit your needs. Here are some of the categories:


    3. Working Hours - Define your working hours to ensure interview scheduling aligns with your availability.
      • Set your preferred interview days and times.
      • Use the Date Overrides feature to add exceptions when your availability changes.

    4. User Integration
      • Link Your Mailbox

        To sync your email:
        • Go to Settings > Mailbox Integration and select either Gmail or Outlook.
        • Follow the prompts to authorize and integrate your mailbox for seamless communication with candidates.

      • Sync Your Calendar
        • Navigate to Settings > Calendar and integrate your calendar with Kula ATS to simplify interview scheduling and ensure your availability is up to date.


Viewing the Dashboard

  • Dashboard Display: Upon logging in, you will land on the Kula ATS homepage. The Dashboard provides a snapshot of your daily tasks, including your schedule, to-do items, and job information.

  • Daily Agenda: View your daily schedule, including interviews, meetings, and deadlines.

  • Open Tasks: Check your to-do list to keep track of recruitment tasks and ensure nothing is overlooked.

Efficient Interview Scheduling

  • Why: Utilize Kula’s advanced scheduling feature to streamline the interview process. You can choose between setting interview dates manually or allowing candidates to select available time slots. This flexibility helps accommodate both the recruiting team’s preferences and the candidates’ availability, making scheduling more efficient and candidate-friendly.

Post to Multiple Job Boards

  • Why: Utilize Kula’s capability to post job openings across multiple job boards simultaneously. This increases the visibility of your job postings and attracts a larger pool of candidates. Efficiently manage and track applications from different sources to streamline your recruitment efforts. Here’s how to get started.
