Add and Manage Offer Letter Templates

Offer letter templates help maintain consistency in your recruitment process by using structured fields. These templates are created outside the Kula environment and uploaded for use during offer creation. You can incorporate placeholders and offer fields into your template for dynamic content.


Adding an offer letter template

  1. Click on the "Settings" icon located at the bottom of the left-side menu.

  2. Under the "Offer Management" section, select "Offer Letter Templates."

  3. Click on the "Add Offer Template" button at the top right corner.

  4. Fill out all the fields in the "Details" section, ensuring that they align with your recruitment needs.

  5. Click on the "Click To Upload" button to upload the offer letter document created outside Kula. Make sure the document is in .docx format.

  6. For reference, you can click on the "View Tokens" button, located next to "Add Offer Template," and incorporate placeholders into your template.

  7. Once the document is uploaded, click on the "Create Template" button to finalize it.

  8. The new template will appear on the "Offer Letter Templates" homepage. In the "Status" column, you’ll be able to see if the template has been verified with no token errors or if it contains any errors.


Editing an Offer Letter Template
  1. On the "Offer Letter Templates" homepage, hover over the respective template and click on the ellipsis icon.

  2. Select the "Edit" option and update the "Details" section as needed.

  3. Click "Update Template" to save the changes.




Downloading an Offer Letter Template

  1. On the "Offer Letter Templates" homepage, hover over the respective template and click on the ellipsis icon.

  2. Select the "Download" option. The file will be downloaded in .docx format.





Deleting an Offer Letter Template 

  1. On the "Offer Letter Templates" homepage, hover over the respective template and click on the ellipsis icon.

  2. Select the "Delete" option.

  3. A confirmation modal will appear, where you must type the word "DELETE."

  4. Click on "Yes, Delete" to confirm and complete the deletion process.
