Add and Manage Users

Adding users to Kula is the first step to getting your recruitment team and broader organization involved in your hiring initiatives. Before proceeding, we recommend reading our role and permissions help article so you can assign and/or create the appropriate roles when adding users.


ADD A USER

  1. Click on the Settings icon at the bottom of the left-side menu.

  1. Under the Organization Settings section, click on Users.

  1. Click the Add User button in the screen's top right corner.

  1. Under the Details section, complete adding information in all the mandatory fields and associate the user with all the other fields displayed in the Organizational Information block.


NOTE: Without filling out all the mandatory fields under the Details section, you will not be able to go to the next section, Roles & Permissions.


  1. Click on the Next: Roles and permissions button to navigate to the Roles & Permissions section > Select a role for the user > Verify the permissions > Click on the Create button.

    NOTE: An invitation email will be sent to this user with which they can log into Kula.


NOTE: Once invited, the user will be immediately listed in the “Pending Users” section, and once the user has logged in to Kula, they will be immediately listed under the 'Active Users' section.


DEACTIVATE A USER

NOTE: You can deactivate only the active users listed under the “Active Users” section.


  1. To deactivate an active user, click on the Ellipses (...) option that pops up when you hover over the user’s info row.
  2. Click on the “Deactivate” button > Confirm this by typing in the word “DEACTIVATE” in the mini pop-up window.
  3. Complete the action by clicking on the “Deactivate” button. 


REACTIVATE A USER

NOTE: You can reactivate only the deactivated users listed under the “Deactivated Users” section.


  1. To reactivate a deactivated user, click on the Ellipses (...) option that pops up when you hover over the user’s info row.
  2. Click on the Activate User button
  3. Complete the action by clicking on the “Confirm” button.


NOTE: The reactivated user will immediately be listed under the “Active Users” section.


MANAGE PENDING USERS

If an invited user has not logged into Kula for a period of time, you can re-send or revoke their invitation under the “Pending Users” section.

Resending the invitation

  1. To resend the invitation, click on the Ellipses (...) option that pops up when you hover over the user’s info row.
  2. Click on the Resend Invitation button.
  3. Complete the action by clicking on the “Resend” button.


Revoking the invitation

  1. To revoke the invitation, click on the Ellipses (...) option that pops up when you hover over the user’s info row
  2. Click on the Revoke Invitation button.
