Kula now automatically notifies candidates in the meeting itself when the AI Notetaker is recording. This article covers what happens automatically, what's still on you to add (interview invite language), and what to do if a candidate objects.

What happens automatically today

As of an August 2026 release, whenever the AI Notetaker joins an interview, it discloses itself directly in the meeting:

• A chat message is posted when the Notetaker joins, and again whenever someone joins later — so a candidate or interviewer arriving late still gets the notice. The message reads: "This meeting is being recorded and transcribed for note-taking."

• A short spoken announcement plays on Google Meet and Microsoft Teams when recording actually starts — not while the bot is sitting in the waiting room, so it doesn't interrupt anything if the host takes a moment to admit it.

• Zoom gets the chat message only. Zoom already plays its own native recording announcement, so Kula doesn't add a second spoken one there.

• The voice announcement plays once per meeting. Anyone who joins after it's already played gets the chat message instead, rather than hearing the announcement repeated mid-interview.

• This is enabled for every account automatically — there's no setting to turn on and nothing for an Admin to configure.

Because the announcement is played and posted into the call itself, it becomes part of the recording and transcript — a timestamped record that disclosure actually happened, not just that it was intended.

What's still manual: interview invite language

The automatic in-meeting notice happens at the start of the call — it doesn't cover what a candidate sees before they join. If you want candidates informed in advance (recommended in jurisdictions that expect notice before recording, and generally good practice for candidate experience), you still need to add that language to your interview invite yourself. Kula doesn't insert anything into the invite by default, since customers and jurisdictions vary widely in what they need to say.

Two starting-point examples other customers have used, for reference:

• Shorter version: something along the lines of — we use an AI notetaker to record, transcribe, and summarize the conversation so the interviewer can stay present rather than typing; the recording is used only by the hiring team for this role, isn't used to make an automated hiring decision, and can be turned off on request without affecting the candidacy.

• More detailed version: spells out what's captured (audio, video, transcript), the purpose (consistent notes and fair evaluation), who has access (recruiter and interviewers for the role), and states explicitly that AI isn't used to score, rank, or reject candidates — hiring decisions are made by people.

Adapt either to your own legal and brand requirements rather than using them verbatim.

If a candidate objects

There's no candidate-facing self-service way to opt out today. If someone says they don't want to be recorded, a recruiter needs to either turn off the Notetaker toggle for that interview before it starts, or remove it from the call after it's already joined.

Good to know

• The in-meeting notification is separate from, and doesn't replace, invite-level disclosure. Covering both — automatic in-call notice plus your own advance language in the invite — gives candidates notice before and during the call, not just one or the other.

• A small display bug has been reported and isn't confirmed fixed: the chat message has been observed rendering with stray formatting characters in at least one internal test, and the spoken announcement sounding clipped in one case. If you see this, it's a known issue rather than something specific to your account.

• This doesn't apply to phone or in-person interviews — the Notetaker doesn't reliably work in either setting in the first place, so there's no in-meeting notice to speak of. See "AI in interviews — the notetaker" for what does and doesn't work there.

• The announcement can't be turned off short of removing the Notetaker entirely. If your organisation wants the Notetaker present but silent, that's not currently an option — the notification is tied to the Notetaker joining and recording, not a separate toggle.

FAQ

• Does Kula tell candidates when their interview is being recorded? Yes, automatically, as of August 2026 — a chat message on every supported platform, plus a spoken announcement on Google Meet and Microsoft Teams (Zoom already has its own). Nothing to set up; it's on for every account.

• Do we still need to add our own language to the interview invite? It's optional but recommended, especially if your jurisdiction expects notice before the call starts. The in-meeting notification only covers the moment recording begins, not what a candidate sees beforehand. Kula doesn't add invite language automatically.

• Can a candidate opt out of being recorded themselves? Not through any self-service option today. They need to tell you (or their interviewer) directly, and a recruiter has to manually turn off or remove the Notetaker for that interview.

• Why doesn't Zoom get a spoken announcement like Google Meet and Teams? Zoom already plays its own native recording announcement when a meeting is being recorded, so adding a second one would be redundant. Zoom interviews still get the in-meeting chat message.
