Editing candidate information

Candidate details change — a phone number gets corrected, an email is added after the fact, or a skill needs updating. This article covers where you can edit a candidate's information, what you can and can't change, and a few things to know before you save.

Who can do this: Any user with candidate/contact edit permissions. Exactly which fields you can edit may vary by role — for example, the External Collaborator role has historically had additional backend restrictions on certain fields (like adding education/experience or sending email) even where the interface showed them as available.

Where to find it: Directly from a candidate's application page (no need to leave the job), from the header edit icon next to the candidate's name, or from the candidate's full Contact page.


What you can edit

  • From the job application page directly — name, email, phone, skills, education, experience, custom fields, and more. You no longer need to jump to the contact page to make these changes.

  • From the header edit icon — clicking the edit icon next to a candidate's name takes you straight to the candidate info section for edits, without extra navigation.

  • Inline, from the candidate's profile view — email and phone can be edited directly where they're displayed, without opening the full contact record.

  • Missing details — if email or phone wasn't captured when the candidate was added, you can add it later from the same places.

  • Experience and education entries — these can be edited or removed, not just added.


What's locked

  • LinkedIn URL cannot be edited once it's added to a candidate. This is deliberate, not a bug — if a LinkedIn URL was linked incorrectly, you'll need to correct it through re-linking or a merge rather than editing the field directly.

  • Contact Source behaves differently from other fields. Updating the source shown on a specific job application does not change the original Contact Source on the candidate's profile — these are tracked as two separate fields (see Good to know below).


Editing from the job vs. the contact page

Candidate information you see while reviewing a job application and the information on the candidate's contact page aren't always the same data. Details on a job application are either entered directly by your team or provided by the candidate for that application, while details on the contact page can include information parsed from the candidate's resume. If numbers don't match between the two views, that's usually why — not a sync error.


Good to know

  • Email is no longer required to save an edit. Earlier, editing any detail on a contact pulled from LinkedIn would force you to enter an email address before saving. That requirement has been removed — email stays optional once a candidate already exists.

  • A duplicate-email edge case can silently block a save. If the email you're entering is already saved as a secondary email on the same contact, the edit may not go through as expected. If this happens, check the Contact page for a secondary email entry and mark it primary, then try again.

  • Experience and education dates are validated. An end date must fall on or after the start date, or the save will be rejected with a validation error.

  • Contact Source and Application Source are tracked separately. The Contact Source reflects how a candidate first entered Kula and is set once, at creation. Changing the source on a specific job application won't update it — so don't expect edits made in one place to always show up in the other.

  • Some fields may be restricted by role. Permission rules can limit which fields a given role can edit — if a field looks greyed out or an edit doesn't save, it may be a permissions restriction rather than a bug.

FAQ

  • Can I edit a candidate's details without leaving the job I'm working on? Yes — name, email, phone, skills, education, experience, and custom fields can all be edited directly from the job application page.

  • Can I change a candidate's LinkedIn URL if it was entered incorrectly? No — LinkedIn URLs are locked once added. You'll need to re-link or merge the candidate's profile rather than editing the field.

  • I edited a candidate's email but it's not saving — why? Check whether that email is already saved as a secondary email on the same contact. If so, go to the Contact page, find the secondary email, and mark it primary before trying again.

  • Do I have to fill in education or experience details to save other edits? No, those fields are optional — but if you do add dates, the end date must be on or after the start date.

  • Why doesn't a candidate's Contact Source update when I change the source on their job application? Contact Source and Application Source are separate fields. Contact Source is set once, when the candidate is first created, and doesn't change when the source is updated on an individual job application.
