Interview confirmation emails and reminders
Last updated: August 18, 2026
Once an interview is booked, Kula keeps candidates and interviewers informed automatically, from the initial confirmation through to a reminder right before it starts. This article covers what gets sent, to whom, and when.
You don't need to trigger any of this yourself. It runs automatically once an interview is scheduled, rescheduled, or cancelled.
Booking, rescheduling, and cancellation emails
When an interview is booked, Kula emails the candidate and interviewers a confirmation with the details and, for a virtual interview, the meeting link. Rescheduling or cancelling sends an updated or cancellation email to the same people. In each case, the recruiter who scheduled it gets their own notification too, so they know it went out.
RSVP reminders
Candidates and interviewers get a calendar invite for the interview, and Kula tracks whether they've responded to it. If someone leaves their RSVP pending, Kula sends a reminder every 24 hours, up to 3 times, until they respond, the interview starts, or it's cancelled.
Note: Automated RSVP reminders depend on a setting for your account. If you're not seeing them go out, check with your Kula contact.
RSVP reminders don't apply to every calendar setup. Kula skips them when the interview is on a shared Microsoft calendar, since RSVP doesn't apply there, or when an invitee's email provider doesn't report RSVP status back to the organizer's calendar.
Note: The recruiter who scheduled the interview is also notified whenever an invitee RSVPs, so you can see who's confirmed without checking the calendar yourself.
The "about to start" reminder
10 minutes before the interview begins, Kula sends attendees a reminder that it's about to start, as long as the interview hasn't been cancelled or deleted.
