What is an Application in Kula?

An application is what Kula creates when a candidate enters a specific job's pipeline. It's the record of that candidate being considered for that one job, separate from the candidate's own profile.

Because applications and candidates are separate records, the same candidate can be considered for more than one job at a time. Each application moves through its own pipeline independently, and a rejection on one application doesn't affect the candidate's other open applications.

How an application gets created

Kula creates an application whenever a candidate enters a job's pipeline. This happens in a few ways:

• The candidate applies through the career portal or a job board.

• A recruiter creates the candidate from scratch and adds them to the job.

• A recruiter adds an existing candidate from Kula's contact database to the job.

• A recruiter imports the candidate from a CSV file.

• Someone forwards the candidate's resume to the job's inbound email address.

• Someone refers the candidate.

• A recruiter sources the candidate through a Flow.

What an application tracks

Each application carries its own data, separate from the candidate's profile.

Stage: Where the application sits in the job's pipeline, for example Prospect, Application Review, an interview stage, Offer, or Hired.

Status: What's pending on the application in its current stage, such as Needs scheduling, Needs decision, Needs offer, or Overdue.

Source: How the candidate entered the pipeline for this job.

Credited to: The user attributed with bringing the candidate into this job's pipeline.

Application form data: The candidate's submitted answers, plus any custom application-stage fields configured for the job.

Application ID: A unique identifier for the application record, used in exports and reports.

Application vs. candidate

A candidate is the person. Their profile carries information that stays the same no matter which job they're being considered for: name, resume, contact details, skills, tags, education, and experience.

An application is scoped to one job. If the same candidate is added to two different jobs, Kula creates two separate applications, each with its own stage, status, and history, linked back to the same candidate profile.

Note: Open a candidate's profile to see every application they have across all jobs.

Where you'll see applications

• On the Pipeline tab, as a card in the Kanban column for its current stage.

• On the Candidates tab, as a row you can filter and sort.

• On the Dashboard, in the Application Review table, if it's awaiting review.

• In Reports and Analytics, as a row in application-level reports.
