Rejecting a candidate professionally and efficiently is an important aspect of the hiring process.

How to Reject a Candidate:

  1. Start by navigating to the Jobs page. From here, you’ll be able to access all the job postings and their associated candidates.
  2. Locate the job for which you need to reject a candidate. You can do this by either accessing the Pipeline view or the Candidates list for that specific job. This will provide an overview of the candidates at different stages of the hiring process.
  3. Find and click on the profile of the candidate you wish to reject. Review their application details, resume, and any notes or feedback that have been added throughout the recruitment process.
  4. Locate the stage/status dropdown menu. Move the candidate to the "Rejected" stage to update their status and record the rejection.

  5. After updating the candidate’s status, you’ll be prompted to select a reason for the rejection. Choose the appropriate reason from the list provided, such as "Not a Good Fit," "Lack of Experience," or any other relevant reason.

  6. If you wish to inform the candidate of their rejection via email, check the option to "Send email to candidate." Select an appropriate Email Template from the list to ensure consistent and professional communication. Customize the email if needed before sending it.

FAQs

Q: What happens to the candidate’s application after rejection?

Q: Can I reject multiple candidates at once?
A: Yes, you can bulk select multiple candidates and click on the "Reject candidates" option to handle multiple rejections simultaneously.

Best Practices

  • Provide Constructive Feedback: If appropriate, offer constructive feedback to the candidate to help them improve for future opportunities. This can be included in the rejection email or as a separate follow-up.

  • Be Timely: Reject candidates as soon as a decision is made to avoid keeping them waiting unnecessarily. Timely communication reflects well on your organization.

  • Maintain Confidentiality: Ensure that rejection reasons and any feedback provided are kept confidential and are only shared with relevant team members.
