How to Roll Out an Offer to a Candidate

The Offers module simplifies extending job offers to candidates, helping keep all offer details in one streamlined workflow. Before creating and sending offers, admins must set up offer fields, offer letter templates, offer approvals, and enable e-signature integration if necessary.

Steps to Roll Out an Offer:

  1. Go to the Jobs section in the left-hand menu.
  2. Select the job you’re working on.
  3. Navigate to the Pipeline section.
  4. Drag and drop a candidate’s tile into the Offer stage column.
  5. Alternatively, open the candidate’s profile, click the Move To Stage button, and choose Offer.

Once moved to the Offer stage:

  1. A Needs Offer tag will appear on the candidate's tile in the pipeline.
  2. Open the candidate’s profile and click the Create Offer button.

In the offer creation modal:

  1. Fill out the required offer fields in the Details section. Most fields will be auto-filled.
  2. Click Next: Offer Template to move to the template section.
  3. Choose the appropriate offer template from the dropdown list.

Review and finalize the offer:

  1. Click Preview Offer to review the document. You'll see the offer letter with all relevant information on where tokens were used.
  2. To make changes, click Edit Parameters.
  3. Download the document in .docx or PDF format, or upload a replacement file if revisions are required.
  4. If approval is needed, click Send Offer For Approval. This step is triggered if the offer approval workflow is active.

Managing approval:

  1. Hiring managers will be notified and can approve or reject the offer through the platform.
  2. Hiring managers will receive notifications about the offer approval request via the web app, email, and Slack.
  3. They can either approve by clicking the Approve Offer button or reject it by selecting Reject.
  4. Recruiters will be notified of the approval or rejection through the same channels, and the candidate’s profile will reflect either an Offer Approved or Offer Rejected tag.
  5. If approval is pending, recruiters can remind hiring managers by clicking the Send reminder button.

Finalizing the Offer:

  1. Recruiters can still edit and revise the offer after it is approved or rejected by selecting the Edit Offer button.
  2. Once finalized, recruiters can download the offer by clicking the Download button and choosing .docx or PDF formats to share outside Kula if needed.
  3. To send the offer directly to the candidate, recruiters can choose either Send With Kula or Send With DocuSign (the latter will be available only if admins enable DocuSign integration).

Candidate's Response:

  1. Once the candidate accepts or rejects the offer, the recruiter should mark the status in Kula using the Mark Accepted or Mark Rejected options.
  2. If the offer is accepted, an Offer Accepted tag will appear on the candidate’s tile in the pipeline view.
  3. If the offer is rejected, a Needs Decision tag will appear, prompting further action.
