Sending an offer to a candidate through Kula

Once an offer's approved and its letter is ready, you can send it straight to the candidate by email from Kula. This article covers that flow, including how to record the candidate's response.

Before you send

If your organisation has offer approval turned on, the offer needs to be approved internally first — reviewers are notified automatically and must sign off before you can send it. If approval isn't turned on, offers move straight to ready-to-send once their document is generated.

Send the offer by email

  1. Open the approved offer.

  2. Click Send email.

  3. Kula generates the offer letter from your chosen offer letter template, attaches it, and emails the candidate.

  4. The offer's status moves to Offer sent, and Kula waits for the candidate to respond.

Recording the candidate's response

Offers sent by Kula email don't have a candidate-facing portal to accept or decline in. Once the candidate replies, record the outcome yourself:

  1. Open the offer.

  2. Choose Mark as Accepted or Mark as Rejected from the offer's actions menu.

If you'd rather the candidate sign electronically and have their response update the offer automatically, send it through e-signature instead.

Good to know

  • Accepting an offer that's linked to a requisition fills that requisition automatically; declining or cancelling it reopens the requisition.

  • There's no candidate self-service portal for offers sent by plain email — the candidate replies however you asked them to (usually by email), and you record the outcome in Kula.

Sending offers with e-signature

Kula can send an offer straight into DocuSign, PandaDoc, Adobe Sign, or SpotDraft for the candidate — and, if required, an internal co-signer — to sign electronically. This article covers how to send one and what happens after.

Who can do this: Recruiters and Hiring Managers can send. Super Admin and Admin can connect a provider and set its defaults.

Which providers are supported

Kula integrates with four e-signature providers: DocuSign, PandaDoc, Adobe Sign, and SpotDraft. Your organisation needs to connect one before you can send offers through it, from your Settings → Integrations page.

Send an offer for e-signature

  1. Open the approved offer.

  2. Choose Send with DocuSign, PandaDoc, Adobe Sign, or SpotDraft — you'll only see providers your organisation has connected.

  3. With DocuSign, you can preview the envelope inside DocuSign's own editor before sending.

  4. Send. Kula creates the signature envelope and notifies the candidate (and an internal co-signer, if your organisation requires one).

What happens after you send

Unlike sending by Kula email, e-signature responses update the offer automatically — you don't need to mark anything yourself:

  • When the candidate (and co-signer, if required) signs, the offer moves to Accepted.

  • If either party declines, the offer moves to Declined.

  • If the envelope is voided — for example because you cancelled, regenerated, or updated the offer — it moves to Voided.

With SpotDraft, there's one extra step: the document is uploaded first, and the candidate isn't notified until someone places the signature fields in SpotDraft. You'll see the offer sitting in Awaiting e-sign preparation until that's done.

Good to know

  • If your organisation requires an internal co-signer, you can set whether the candidate or the company signer goes first when you configure the provider's defaults.

  • Cancelling, regenerating, or updating an offer that's already out for signature voids the existing envelope.

  • Only DocuSign supports previewing the envelope before it's sent.

FAQ

Q: Why is my offer stuck on “Awaiting e-sign preparation”?
A: This only happens with SpotDraft — the document has been uploaded, but the candidate won't be notified until someone places the signature fields inside SpotDraft.

Q: I edited the offer after sending it for signature — what happened to the original envelope?
A: Editing, regenerating, or cancelling an offer that's already out for e-signature voids the existing envelope. You'll need to send it again once you're done editing.

Q: The candidate accepted by email — how do I update their offer status?
A: Open the offer and choose Mark as Accepted from the actions menu. Kula email sends don't update automatically, since there's no candidate portal for this path.

Q: Why can't I send the offer yet?
A: If your organisation has offer approval turned on, the offer needs internal sign-off first. Check the offer's status — it should show Approved before you can send it.
