Job status: Draft, Open, Closed

Every job in Kula has a status that reflects where it is in the hiring lifecycle. Knowing what each one means and how to move between them keeps your pipeline accurate and your reporting clean.

Who can do this: Recruiters, Hiring Managers, Admins, and Super Admins with edit access to the job can change its status, subject to your org's approval settings.

Where to find it: Open the job → click the status badge, or use the More Options menu


What each status means

Status

What it means

Draft

The job is being set up. Not visible to candidates, and can't receive applications.

Open

The job is active. Applications are being accepted and the pipeline is live.

Closed

Hiring is complete or the role has been filled. The job is inactive.


Draft

A job starts as a Draft when first created.

  • It isn't visible on your career portal.

  • Candidates can't apply, and can't be added manually — only Active (Open/Scheduled) jobs accept candidate additions.

  • You can still configure the pipeline, hiring team, scorecards, and job post while in Draft.

  • Jobs imported from another ATS (e.g., Greenhouse) default to Draft status.

Move a job out of Draft once setup is complete and you're ready to accept applications. If your org has approvals enabled, moving out of Draft (via Launch) can trigger an approval flow before the job actually goes live.


Open

An Open job is fully active:

  • The job post is live on your career portal, if listed.

  • Candidates can apply directly or be added manually.

  • The pipeline is active — candidates move between stages.

  • The job can be posted to job boards (LinkedIn, Indeed, and more).

  • Flows and automations tied to the job are running.

A job can only be closed once it's in the Open state — a job stuck in Draft or Pending Approval needs to move to Open first.


Closed

Closing a job marks hiring as complete:

  • The role stops accepting applications, and Kula automatically unpublishes it from connected job boards where the integration supports this.

  • The job is removed from active views.

  • All candidate data and pipeline history are preserved for reporting.

  • A closed job can be reopened at any time if hiring resumes.

Closed is a status — the job still exists and shows up if you filter for it. Archiving is a separate, further step that moves a job out of your active workflow; see Archiving and Closing a Job for that.

Good to know

  • There's no dedicated "pause" status. If you want to put a role on hold and come back to it later, the closest option today is to close it and reopen it when you're ready — see the FAQ below for what that actually involves.

  • Reopening a closed job sends it back to Draft, not straight to Open. You'll need to launch it again before it's live and accepting applications.

  • A job in Pending Approval can't be closed directly. It needs to be approved first — an Admin or Super Admin can approve on behalf of the approvers if needed.

FAQ

  • Can I reopen a closed job? Yes. Open the job and change its status back — reopening moves it to Draft first, so you'll need to launch it again before it's live. For more, see Archiving and Closing a Job (link to be added).

  • I want to pause hiring on a role and pick it back up later — how do I do that? There's no dedicated Paused status. The closest workaround is to close the job, leaving candidates in whatever stage they're in, and reopen it when you're ready to resume — just note it'll come back as a Draft and need to be relaunched.   • Does closing a job notify candidates? Not automatically. You can manually send rejection emails to candidates still in the pipeline, before or after closing. For more, see Creating and Editing an Interview Plan (link to be added).

  • Can I still see candidates after a job is closed? Yes — all candidate data, pipeline history, and notes are preserved after closing. For more, see What is a Job in Kula? (link to be added).

  • A job I need to close won't let me — why? It's likely still in Draft or Pending Approval. A job can only be closed once it's Open, and one still awaiting approval needs to be approved first. For more, see Jobs List View Explained (link to be added).
