Controlling job post visibility

Decide whether a job post is publicly discoverable, reachable only by direct link, or restricted entirely — and understand how that interacts with marking a job confidential.

Who can do this: Requires the same job-editing permissions used to manage a job's posting settings — typically Recruiter, Admin, or Super Admin.

Listed vs. Unlisted

Every job post has one of two visibility settings:

  • Listed — the job appears on external job boards, your Kula Career Page, and/or your internal job board, depending on where you've chosen to list it.

  • Unlisted — the job is removed from your career page, job boards, and search — it won't be found by browsing or searching.

    Candidates can still reach it and apply through a direct link, which is why Unlisted is commonly used for confidential-adjacent roles, roles you're sourcing for manually, or roles you want to share only with a specific audience (an agency, an immigration attorney, a referral).

A Listed/Unlisted label appears next to the job title so you can tell a job's current state at a glance, and the "View job (Portal)" button only appears when the job is set to appear on external job boards.

Where the job post appears

If Listed, choose one or both:

  • External Job Boards and Kula Career Page — publicly visible, distributed externally.

  • Internal Job Board — visible only to employees, with Apply, Refer, or Both controlling how they can interact with it (see "Internal job board for employees").

The application form is only available on Listed job posts — if a job is Unlisted, its application form settings aren't accessible, since candidates aren't meant to browse into it in the first place.

How this interacts with Confidential jobs

  • Marking a job Confidential automatically makes it Unlisted — it's removed from job boards and the career page as part of the same action, and only the hiring team (plus users with confidential-job access) can see it inside Kula. This part is expected and by design.

  • The part that trips people up: un-marking a job as confidential does not automatically make it Listed again. The job stays Unlisted until you go back into Job Posting settings and switch it to Listed yourself. If you've taken a job off confidential and it still isn't showing up anywhere, this is almost always why — check the Listed/Unlisted setting directly rather than assuming confidentiality is still somehow active.

  • Confidential (and Unlisted) jobs still generate a shareable direct-apply link — candidates who have that link can view the job and apply even though it won't appear anywhere on your career page or job boards.


Good to know

  • Un-confidentialing a job doesn't re-list it. This is the single most common source of "I made it not confidential but it's still hidden" confusion — the fix is to manually switch the job back to Listed.

  • A currently open, high-priority bug means some public job pages may not be getting indexed by search engines correctly, even when Listed and non-confidential. If your listed jobs aren't showing up in Google searches the way you'd expect, this is a known, active issue on Kula's side rather than something wrong with your setup — worth checking with support for current status.

  • If an Unlisted job still seems to be showing up on your career page, check for a duplicate job title first. A real, resolved case traced back to a second job posting with the exact same title that was still Listed — the unlisted one genuinely was hidden, but a look-alike was still visible and easy to mistake for it.

  • Unlisted and Confidential jobs both keep a working, shareable direct-apply link — this is intentional, not a leak. If you need to share a role only with a specific person or agency (without it being publicly discoverable), Unlisted is the setting to use, and the direct link is how they'd apply.

  • The application form only exists for Listed jobs. Since Unlisted jobs aren't meant to be browsed into, you can't configure application-form settings on them the way you can for a Listed job — the direct-link apply flow uses the job's existing form configuration from when it was last Listed.

  • A job post's title field is not mandatory when the job is Unlisted — since it isn't meant to be publicly displayed, Kula doesn't enforce the same title requirements it does for Listed postings.

FAQ

  • If I un-mark a job as confidential, will it automatically become visible again? No — the job stays Unlisted until you manually switch it to Listed in Job Posting settings. Un-confidentialing only removes the confidentiality restriction; it doesn't restore external visibility on its own.

  • Can candidates still apply to an Unlisted job? Yes, if they have the direct link. Unlisted just means the job won't be found by browsing or searching your career page, job boards, or internal board — it's not the same as blocking applications entirely.

  • I unlisted a job but it's still showing on my career page — what's going on? Double-check whether there's a second job posting with the same or a very similar title that's still Listed — that's a real, confirmed cause of this exact confusion. If you've ruled that out and the unlisted job is still visible, contact support.

  • Where do I get the shareable link for an Unlisted or Confidential job? Support can generate and share it on request today; a fully self-serve "copy link" option directly on the job is in progress but not yet confirmed live everywhere — check your Job Posting settings for a copy-link option, and reach out to support if you don't see one.

  • Why can't I configure an application form on an Unlisted job? Application form settings are only available on Listed job posts. An Unlisted job's apply flow uses whatever form configuration it had the last time it was Listed.

  • Does marking a job Confidential also make it Unlisted? Yes — it happens automatically as part of marking the job confidential, and it's intentional: confidential jobs shouldn't be discoverable externally.
