Archiving and closing a job
Last updated: July 23, 2026
Archiving removes a job from your active views for good. It's different from closing a job, which just marks hiring as finished while keeping the job active in your workflow. This article covers what archiving does, which jobs you can archive, and what changes once a job is archived.
Who can do this: Recruiters, Hiring Managers, Admins, and Super Admins with edit access to the job.
Where to find it: Open the job → status badge or More Options menu → Archive
How archiving is different from closing
Closing a job marks hiring as complete — the job stops accepting applications, but it's still an active record you can reopen at any time. See Job status: Draft, Open, Closed for the full Draft/Open/Closed lifecycle.
Archiving is a further, separate step:
It removes the job from your active Jobs list — you'll only see it if you filter for Archived.
It makes the job read-only: settings, candidates, the job description, and AI scoring can no longer be edited.
It automatically takes the job's post down from your career portal.
It can't be undone from the UI. There's no self-serve way to un-archive a job.
Archive a job
Open the job, or find it in the Jobs list.
Click the status badge or the More Options menu.
Select Close job.

A job needs to be in Draft, Closed, or Pending Approval status to archive directly. An Open job needs to be closed first.
What changes once a job is archived
Area | What happens |
Job settings | Read-only — can't be updated |
Adding candidates | Not allowed |
Job description | Read-only |
AI scoring | Restricted |
Career portal listing | Automatically taken down |
Downloading files (resumes, attachments) | Still works |
Transferring a candidate to another job | Still works |
Un-archiving | Not supported from the UI |
Good to know
Kula doesn't support permanently deleting a job — archiving is the closest equivalent. Jobs carry candidate data and history, so they're archived rather than deleted, and stay available if you ever need to look back at them.
Un-archiving isn't a gap — it's a deliberate design choice. A feature request to add an unarchive option was raised and declined. If you need to reuse an archived job's setup, clone it instead — cloning works from the Archived Jobs list.
Downloads and candidate transfers are the exceptions to the read-only rule. Everything else on an archived job — settings, adding candidates, the job description, AI scoring — is locked, but you can still download files and transfer a candidate out to another job.
Archiving from Pending Approval is a newer capability. Earlier, only Draft and Closed jobs could be archived directly; Pending Approval was added later. If you're on an older setup and don't see the option, this is worth checking with support.
FAQ
How do I delete a job I don't need anymore? Kula doesn't support deleting jobs — only archiving. Archiving removes it from your active list while keeping the data. For more, see Jobs List View Explained (link to be added).
Can I un-archive a job? No, not from the UI — this was a deliberate product decision, not a missing feature. If you need the same setup again, clone the archived job instead; if you're genuinely stuck, contact support. For more, see Cloning a Job (link to be added).
I archived a job by mistake and now need to move a candidate to Hired — what do I do? You can't reopen the job itself from the UI, but you can still transfer that candidate out to another job, or contact support to check what's possible on your account. For more, see Cloning a Job (link to be added).
Can I still see or download files from a candidate on an archived job? Yes — download-related actions stay available on archived jobs even though editing is locked. For more, see What is a Job in Kula? (link to be added).
Can I move a candidate from an archived job to a different one? Yes — transferring a candidate out of a closed or archived job to another job is supported, even though other edits aren't. For more, see What is a Job in Kula? (link to be added).
