How a requisition is filled

A requisition moves to Filled automatically when the candidate linked to it accepts their offer, or when you move them to a Hired stage. You don't mark a requisition as filled yourself. You link it to an offer or a hire, and Kula updates it.

Who can do this: Anyone who can send offers or move candidates to Hired on the job: Super Admin, Admin, Recruiter, Hiring Manager, and Department head / Site lead (only for jobs in their departments and offices)

Either way, one requisition covers one hire. A requisition can be linked to only one offer or hire, and each offer or hire uses only one requisition.

Fill a requisition through an offer

When requisitions are turned on for your account, every offer needs one. The requisition field is pinned at the top of the offer form and is required.

  1. Open the candidate's Offer stage and create the offer.

  2. Check the requisition at the top of the form. Kula pre-selects the first available requisition on the job. Change it if you need a different one.

  3. Complete and send the offer as usual.

When you link the requisition, it moves to Open if it wasn't open already. When the candidate accepts the offer, it moves to Filled.

You can pick requisitions that are ApprovedReady to open or Open, as long as they aren't already linked to another offer or hire.

If the offer salary is above the requisition's salary range, Kula shows a warning on the form. You can still send the offer, and your offer approvers are told that the salary is above the range.

Fill a requisition by moving a candidate to Hired

Use this route when you hire someone without sending an offer through Kula.

  1. Move the candidate to a Hired stage.

  2. In the Associate requisitions window, select the requisition.

  3. Click Associate requisitions.

The requisition moves to Filled straight away.

Kula only shows this window when the job has requisitions and the candidate doesn't already have one through their offer. If the candidate's offer already has a requisition, moving them to Hired doesn't change it. That requisition is filled when the offer is accepted.

What a filled requisition shows

Open the requisition from Jobs & Requisitions → Requisitions. You can filter the list by Status to see only filled requisitions.

The requisition has been used. The only status action left is Close requisition.

Time to fill

Days from the date the requisition was opened to the date it was filled. Hover over it to see how it's calculated.

Associated job

The job the hire was made on. Click it to open the job.

Associated candidate

The person who filled the requisition. Click their name to open their application.

SalaryStart dateRoleEquity

Taken from the accepted offer. These appear only when the requisition was filled through an offer. An above range tag appears if the offer salary is above the requisition's range.

When a requisition is filled, Kula notifies the person who created it, its hiring manager and its recruitment partner. The person who filled it does not get a notification.

In the list view, a requisition that belongs to a group shows a Part of a group tag. Each requisition in a group is filled separately. See the Good to know section below.

When a filled requisition goes back to Open

A requisition is released and goes back to Open in these cases:

While a requisition is filled, you can't edit it. The Edit button is disabled with this message: "Filled requisitions cannot be edited. Delete the associated offer or mark the candidate as rejected to edit this requisition."

Good to know

  • You can't mark a requisition as Filled manually. Filled is always the result of an accepted offer or a hire. The status menu on a filled requisition offers only Close requisition.

  • One offer per requisition. You can't send two offers against the same requisition. To make offers to two candidates for one role, each offer needs its own requisition.

  • Filling a requisition doesn't close the job. The job stays open until you close it, even when all of its requisitions are filled.

  • Requisitions in a group are filled one at a time. A group created with a headcount of 3 has three requisitions, and each needs its own offer or hire. If you edit all requisitions in a group that includes filled ones, Kula takes the filled requisitions out of the group and gives them new requisition IDs.

  • Time to fill can show "less than a day". If a requisition was never opened before it was filled, for example when you hire directly from Approved or Ready to open, Kula uses the fill date as the open date.   • A filled requisition can't be reopened after you close it. Closing a filled requisition is one-way. See Closing a requisition.

  • A requisition belongs to one job. A requisition already attached to one job can't be used for an offer on another job. If a requisition isn't attached to any job yet, using it on an offer or hire attaches it to that candidate's job.
