Company signers, voided and declined envelopes

Some offers need sign-off from someone at your organisation, not just the candidate. This article covers setting up a company signer, tracking who's signed, and what "voided" and "declined" mean — across DocuSign, Adobe Sign, PandaDoc.

Who can do this: Recruiter, Hiring Manager can send offers and track signing. Super Admin, Admin set the organisation-wide defaults.

Where to find it: Within a candidate's offer (its Signature sequence), and Settings → Organisation → Integrations → your e-signature provider's settings

Setting up a company signer

  1. Go to Settings → Organisation → Integrations → your e-signature provider's settings.

  2. Turn on Does anyone from the employer need to sign? and choose who that person is.

  3. Set the order of signing — Employer first or Candidate first. The default is Employer first unless you change it.

Recruiters can still adjust the company signer and signing order on an individual offer when they send it. SpotDraft doesn't use this settings screen — it derives the company signer from SpotDraft's own template and signature request, not a Kula setting.

Tracking who's signed

Click an offer's status badge to open its Signature sequence — a timeline showing each signer, whether they've signed, declined, or are still pending, and a Send reminder link once it's their turn.

With SpotDraft, this timeline can only show a generic "Pending" rather than naming which party it's waiting on, since SpotDraft doesn't share that detail with Kula.

What "declined" means

Either the candidate or the company signer can decline. Kula records who declined and, where the provider makes it available, their stated reason:

  • DocuSign and Adobe Sign include the reason directly.

  • PandaDoc fetches the reason separately, so it may take a moment to appear.

  • SpotDraft only records a reason if the decline comes from a signer Kula recognises.

What "voided" means

An envelope is voided when it's cancelled before anyone finishes signing. This can happen automatically or manually:

  • Automatically, if you cancel the offer, regenerate its document, or replace, add, or remove an offer document while it's out for signature.

  • Manually, using Mark as rejected from the offer's actions menu — this voids the envelope on the provider and records your typed reason as the rejection reason. This option is currently only available for DocuSign offers.

Good to know

  • A voided offer always shows as "voided on Docusign" in Kula, even if it was actually voided on Adobe, PandaDoc, or SpotDraft — this is a display quirk, not a sign something went wrong with the other providers.

  • Voiding an offer frees it up — you can generate a fresh document and send it again.

  • Adobe Sign is the exception: a cancelled or expired Adobe agreement reopens the offer as an editable draft rather than marking it Voided.

  • Rejection reasons are capped at 200 characters.

FAQ

My offer shows "voided on Docusign" but I sent it with PandaDoc — is that a bug?

No — Kula shows that exact label for any voided offer, regardless of which provider actually voided it. It's a known display quirk, not a sign your PandaDoc send failed.

Can I manually void a PandaDoc or Adobe Sign envelope the same way I can with DocuSign?

The Mark as rejected action that manually voids an envelope is currently only available for DocuSign offers. For PandaDoc or Adobe Sign, cancelling or regenerating the offer will void the envelope automatically.
