Setting your default timezone

Kula uses your organization's timezone and date/time format settings to display interview schedules, calendar events, reports, and notifications consistently across your team. This guide explains how to configure these settings.
Permission required: Only users with Admin or Super Admin access can update these settings.
How to Set Your Timezone and Format Preferences
Go to Settings → Organization → General.
Under the Details section, configure the following:

Timezone
Select your organization's default timezone from the dropdown. This is used as the baseline for interview scheduling, calendar events, and notifications across the platform.
Important: Individual interviewers can have their own timezone set on their user profile. Kula uses the interviewer's personal timezone when generating self-schedule slots for candidates. If an interviewer's personal timezone is not set, Kula will block scheduling until it is configured. See Schedule an Interview for more details.
Date Format
Choose how dates are displayed across the platform. Example: DD MMMM YYYY displays as 25 February 2026.

Time Format
Choose between:
12-hour clock (AM/PM) — e.g., 2:30 PM
24-hour clock — e.g., 14:30

Calendar events
Notifications
Click Save to apply your changes.
Timezone and Scheduling
Kula enforces timezone settings strictly in the scheduling flow. Key behaviors to be aware of:
The organization timezone is used as the default display timezone across the app.
Interviewer timezones (set individually on each user's profile) are used to calculate available slots when sending self-schedule links or using Find Time.
If an interviewer's timezone is missing, Kula will show an alert during scheduling and require it to be set before the interview can be booked.
Tip: Before enabling interview workflows for your team, verify that all interviewers have a timezone set on their profiles. Go to Settings → Members to review user profiles.
Tips for Global Teams
If your hiring team spans multiple regions, keep these in mind:
Set the organization timezone to your headquarters or primary hiring location.
Ensure interviewers in different regions have their personal timezone configured on their user profile — this is what Kula uses to show accurate slot availability to candidates.
Use 24-hour format to avoid AM/PM confusion when working across time zones.
Review date format settings if you operate in regions that use different conventions (e.g., DD/MM/YYYY vs MM/DD/YYYY).
FAQs
Does the organization timezone override an interviewer's personal timezone? No. When scheduling interviews, Kula uses the interviewer's personal timezone to calculate available slots. The organization timezone is used for general display across the platform.
What happens if I change the timezone after interviews are already scheduled? Existing scheduled interviews are not affected. The change applies to new scheduling activity going forward.
Can individual users set their own date and time format preferences? Date and time format is set at the organization level and applies uniformly across all users.
Who can change the timezone and date/time format? Only users with Admin or Super Admin access. If you do not see Settings → Organization, contact your workspace admin.
